How we help fight fraudulent sales agents.

Every day, hundreds of sales agents go out into the fields and during their visit, they not only sell goods, but also accept cash.

And here a risk arises: how to make sure that all the money reaches the cash register? Losses from theft can be colossal, especially in companies with a large sales team and a low level of control.

Every distributor has encountered theft by agents, forwarders or anyone responsible for receiving cash. Some have already solved this problem, and some continue to suffer from it.

What fraud schemes exist in principle:
  • "Did not bring to the cash register": the simplest and most common option. The money is simply not collected and spent on personal needs.
  • "Overpricing": the agent sells the goods at an inflated price, and pockets the difference.
  • "Non-reflection of sales": the agent sells the goods, but does not reflect them in the reports, pocketing the revenue.
  • "Collusion with the outlet": the agent shares the discounts provided by the company with the client.
  • "Withdraw cash": the wildest case when the agent simply takes all the money and does not show up for work.

All these schemes are revealed sooner or later. But the question is how much money the company will lose before that moment.

What options exist for solving the problem:

  • Transition to non-cash payments: the most reliable, but not always possible option.
  • Implementation of a collection system: requires additional employees and costs.
  • Outsourcing of collection: shifts responsibility to a third-party company, but increases costs.
  • Implementation of a financial control system: allows you to track suspicious transactions, but requires additional costs.
  • Automation with payment control functions: a comprehensive solution that can increase the effectiveness of control.
  • Hope that everything will “resolve” itself (joke)

We want to share the experience of our clients who use Smartup.
Earlier, we talked about our Bot, with which you can increase control over the accounting of money received by sales representatives.

How it works:

  1. Connect the Bot to the distributor's Smartup and give access to the Bot to retail outlets. From this point on, retail outlets can:
  • see their debt in real time
  • place orders remotely without waiting for a sales representative
  • receive notifications after transferring money to a sales representative
  • During the visit, the sales representative receives cash and enters this information into Smartup. After that, the data is synchronized and the system sends a notification to the Bot about the date and amount that the retail outlet transferred to the agent.
This is what the message looks like in the Bot:

#Request2848496 A request for an advance payment from the retail outlet "UZCRAFT AO" AJ QK in the amount of 12,000,000 sum has been created. Confirm the amount?

If the amount matches, great, the retail outlet confirms this, but if the amount does not match or the notification does not arrive, the retail outlet can contact the distributor and report the problem if the distributor does not detect it earlier.

Our solution helps to prevent fraud in the shortest possible time and save millions, time of security service and financial control, and the cost of the solution is hundreds of times less than hiring and paying additional employees.
